COLE PARK ALLOTMENT ASSOCIATION COMMITTEE, 6 January 2008

Present: Judy Maciejowska (chair) Julia Hilger-Ellis (vice chair) Hilary Simpkin (Treasurer) David Snelling (Secretary), Pat Gallagher (website), Reg (CIP rep), Jim, Alan, (co-opted):

1. Minutes of last meeting approved

2. Matters arising:
a. Julia paid for the AGM hall. She'll be reimbursed and provide a receipt.
b. No further update on expenditure procedures. New signatory mandates now sent to the bank for processing. Hilary waiting to hear. Jim, Alan, Julia and Sandra (the former Chair) are currently still signatories.
c. Capital items: Jim is chasing up sleepers to support the container & then chasing for the container itself. Among other large items it will be home to the CPAA trailer.
d. Bees: carried forward.

3. Accounts: Hilary expressed concern about items being paid for cash without adequate receipts. After some discussion it was agreed that the Petty Cash Fund would be £150. If necessary larger sums requiring payment by cheque could be paid via Judy's bank account for reimbursement.

4. Spending priorities:
a. Skip: Reg will speak to CIP to see if one can be brought on site in March. We will probably need to pay for it.
b. CPAA is to consider insurance cover for individual plotholders and advise. (action who??)
c. Rugby income will be lower this year as there are fewer games.
d. Extra rugby parking spaces are to be created from unused land.
e. Jim and Alan to prepare a budget of all proposed spending and anticipated income so that we can prioritise.

5. Website: committee members to review, debate and send feedback to Pat please.

6. CIP rep: Unpaid/uncultivated plots: There are 45 people on the waiting list for plots. Reg is waiting for full list of vacant plots and will report back to the committee. Further action on uncultivated plots once CIP's rumoured new Allotment Officer takes up the role on April 2.

7. AOB:
a. Judy is to contact Safer Neighbourhood Team via the Borough Commander to arrange a visit.
b. The children's swing over the river opposite plot 130 is to be removed.
